Payment Status & Follow-Up

Chasing payment is the least fun part of running your own shop, which is exactly why it gets put off — and putting it off is how you end up floating thousands in unpaid invoices. This workflow runs the awkward part for you: it watches invoice status on a schedule, nudges overdue clients in your voice, and thanks the ones who pay, logging every touch so you always know where things stand.

Without it

An invoice goes out and then... you forget. Two weeks later you notice it's unpaid, feel weird about chasing, draft an awkward email, and the cash sits in limbo eating your runway.

With this workflow

On a schedule, the workflow checks each invoice. Overdue? A polite, on-brand nudge goes out automatically (with escalation if it keeps slipping). Paid? A warm thank-you. Every action is logged — you get paid without the cringe.

How it works

  1. 1
Scheduled checkA cron trigger runs daily and pulls current invoice statuses from your billing source (Stripe, an invoice API, or a Sheet).
  2. 2
Classify each invoiceLogic buckets invoices into paid, due-soon, and overdue (with day-based escalation tiers).
  3. 3
Send the right messageOverdue → a polite, escalating nudge; paid → a thank-you. All copy is templated and editable to your tone.
  4. 4
Log every touchEach message is recorded to a Sheet so you have an audit trail and never double-nudge a client.

Best for

  • Solo operators carrying unpaid invoices longer than they'd like
  • Anyone who hates writing 'just following up on this invoice' emails
  • Agencies who want a paper trail of every payment reminder

Questions

Does it work without Stripe?

Yes. Point the status check at any source — Stripe, a different invoice API, or even a Google Sheet you update. The follow-up logic is source-agnostic.

Will it spam my clients?

No. Escalation is day-based and de-duplicated via the log, so a client gets a measured cadence — not a daily barrage.

Can I change the tone of the nudges?

Every message is a template you control. Make them warm, formal, or cheeky — the workflow just delivers your words on schedule.
